IdentityNow Email Template Details

In IdentityNow, a number of email templates are used in various parts of the application to notify users of certain milestones or other events. These templates provide a way to describe the intended content (subject, body) of the email that will be sent. Each template mainly consists of name, description, subject, body, and a set of variables that can be used in the subject or body. At runtime, IdentityNow will replace those variables with proper values.

Global Variables

 

The following variables are available for you to use in the body of every email template.

User User The recipient* Any attribute of the user object including, but not limited to, name, alias, firstname, lastname, displayName, uid, manager, phone, workPhone
identityNowUrl String URL to the IdentityNow homepage N/A
PRODUCT_NAME String The name of the product N/A

* When multiple users have the same email address, IdentityNow always sends emails to the first user in the database.

NOTES:

  • Additional variables are available depending on the template you're editing.

  • To reference additional user properties in an email template, use the syntax:  ${user.<property>}. For example, if you want to reference the user's work phone number in an email, you would enter ${user.workPhone}.
  • Not all variables are able to be used in all templates. If you have an issue customizing one of your templates with a global variable, this may be the case.
  • For more variables that are specific to the context of an individual email template, click on the links in the table that follows. In addition, if you want to use a variable that has the type of Object, you might need to speak with your CSM to engage Expert Services.

 

Available Templates

 

Each of the following documents describes an email template that can be configured within IdentityNow. Click the link in the Details column to see the contents of the template and any template-specific variables.

Template Description Details
Access Request Decision When IdentityNow is configured for the Access Request service, this email is sent to a user who requests access to an app. It notifies the user whether their request was approved or denied. Access Request Decision
Access Request Decision for Other When IdentityNow is configured for the Access Request service, this email is sent to a user when access was requested for them by another user, and the reviewer of that request has made a decision. Email Template: Access Request Decision for Other
Access Request for Other When IdentityNow is configured for the Access Request service, this email is sent to a user when another user has requested access for them. Email Template: Access Request for Other
Access Request for Self When IdentityNow is configured for the Access Request service, this email is sent to a user to confirm that they've successfully submitted an access request for another person. Email Template: Access Request for Self
Access Request Reassignment When IdentityNow is configured for the Access Request service, this email notifies a reviewer when they have had access requests reassigned to them. Email Template: Access Request Reassignment
Access Request Reviewer When IdentityNow is configured for the Access Request​ service, this email is sent to each access reviewer who needs to review the access request. Access Request Reviewer
Access Request Sunset Date Reminder This email is sent to a user to remind them that their access to an item is coming to an end.  Access Request Sunset Date Reminder
App Password Changed If IdentityNow is configured for passthrough authentication, a user receives this email when they change their password for IdentityNow or any app or direct connect source connected to the source used for passthrough authentication. App Password Changed
Application Health A System Notification sent when an application changes status. Application Health
Certification Whenever a certification campaign is created, reviewers will get this email. Certification
Certification Due Reviewers of certifications will receive this email one week after a certification campaign starts and every seven days after that, until they sign off or the campaign ends. Certification Due
Certification Reassignment Notifies a reviewer when they have been reassigned identities from an existing certification. Certification Reassignment
Forgot User Name Sent when a user clicks Forgot User Name on the Sign In page and then supplies an email address that is valid for their account. Forgot User Name
Helpdesk Password Reset Sent when a user requests a password reset via email. Helpdesk Password Reset
Identity Errors A System Notification sent when an identity refresh causes 5% or more of identities to be in an error state. Identity Errors
Lifecycle State Change Notifies select users when an identity's lifecycle state changes. Lifecycle State Change
New Account Provisioned Sent to a user when an account is created on a source for them. New Account Provisioned
Non-Employee Account Request When a non-employee account manager requests a new account for a non-employee, they receive this email to confirm that their request was submitted. Non-Employee Account Request
Non-Employee Account Request Decision When all applicable account reviewers have made a decision about a non-employee account, the account manager receives this email to confirm that their account request was either approved or denied. Non-Employee Account Request Decision
Non-Employee Account Review After an new non-employee account request is submitted, this email is sent to the account reviewers to notify them that a request needs their attention. Non-Employee Account Review
Non-Employee End Date Reminder This email is sent to the account managers for a non-employee source when one or more of the non-employees on that source has an end date in 7 days. Non-Employee End Date Reminder
Preference Update Whenever any authentication settings (phone number or answers to security questions) change for a user, IdentityNow notifies them with this email. Preference Update
Password Expiration When a user's password is about to expire or has expired, IdentityNow notifies the user with this email. Password Expiration
Password Reset Code Sent when a user requests a password reset code via email. Password Reset Code
Scheduled Certification Campaign Reminder Sent to the person who created a scheduled certification campaign 1 week prior to the scheduled generation date. Scheduled Certification Campaign Reminder
Search Subscription Notification Sent to administrators when a scheduled search is run. Search Subscription Notification
SoD Policy Subscription Notification Sent to remediators or notification recipients for SoD Policies. SoD Policy Subscription Notification

Strong Authentication Sent when a user wants to use strong authentication when using an email. Strong Authentication
Task Manager Subscription If enabled, this email is sent to users daily when they have incomplete tasks in their Task Manager. You can enable this email using our API. Task Manager Subscription
Unlock User Code Sent when a user clicks Unlock on the Sign In page; this includes a code that the user enters in IdentityNow to unlock the account. Unlock User Code
User Invitations Sent to invite a user to use IdentityNow. User Invitations
User Locked Out Notifies a user that their account has been locked out due to too many failed sign in attempts. User Locked Out
User Password Changed When a user from any app or source that does not use passthrough authentication changes their IdentityNow password, they receive this email. User Password Changed
User Unlocked Sent after the Unlock User Code​ email to confirm that the account was unlocked successfully. User Unlocked
User Verification Token When an administrator or Helpdesk admin resets a user's SailPoint password or their password for a source, the user receives this email. User Verification Token
